A Universal Skill

It starts with a smile!

Smiles are contagious.
In person, or on the phone, your smile will not go unnoticed. If you smile, you set the mood for your customers.

Be enthusiastic!

Can I help you?
"How can I help you? " is a good way to start a conversation. Make sure your customers know you really do want to help. Be genuine and believable when you ask this question.

Know your posture reflects attitude!

Would you ask this person for help?
Your posture reflects your attitude. Don't slouch. Always look like you are ready and willing to provide service. If you are answering the telephone, sit up straight and make sure you are speaking directly into the telephone.

Investigate problems!

Seek facts & avoid opinions.
Ask relevant questions. Try to identify facts and avoid opinions. Don't be judgmental.

Focus on solutions!

I understand, let's see what we can do...
Customers come to you to help them find solutions. If their problem is with your product or service, acknowledge the problem; but don't dwell on it. Don't place blame. Focus on what can be done to improve a situation. How you fix something is more important than the problem

Think outside the box!

There may be more than one problem or solution.
When looking for a solution, think outside the box. What may work for one person may not work for another. Look for the solution that benefits all stakeholders.

Think about the big picture?

Is a problem the symptom of something bigger?
Ask questions. Gain a full understanding of what your customer needs. Unless you are aware of the big picture, you may be missing opportunities.

Always empathize!

Sometimes all you can do is offer comfort.
Empathy goes a long way. Sometimes, that is all you can give to a customer. Bad news is always easier when shared with somebody who cares.

Go the extra mile!

Can I assist you further?
Look for ways to be better than your competition. When you finish one task, ask your customer if you can assist with anything else.

Appreciate your customers.
Don't forget to thank your customers. Your livelihood depends on your customers. Let them know you appreciate their business.

Document events!

Identify trends & share solutions.
Documentation helps solve problems, and it saves time in the long run. Customer relationship management software can help with this. You can keep track of customer preferences, personal information, and history. If you document, your coworkers can start up where you left off. Customer service should be a team effort.
