1.Pre-event marketing

  • Create early "event buzz" before registrations
  • Channels: social media, intranet, websites, event site, traditional media

  • What do I want to promote? (early bird?)
  • Are all other stages scheduled?
  • Goal: more followers for event page, create content, publish headliner

2. Invitation

  • Public or private event?
  • 2 months to 2 weeks in advance
  • Goal: invitations out on time, a working registration page, a confirmation message ready to go!

3. Registration

  • Create a simple registration process
  • E-mail registration very difficult for the event organiser

4. Confirmation

  • A recap of all important information
  • E-mail or text message

  • Link to change information
  • Link to cancel registration
  • Name tag
  • QR-code e.g. ticket
  • Add event to calendar

5. Reminder

  • Send reminders to people that haven't registered
  • ...and to those that have!
  • Attendees can receive a reminder one week and one day before
  • Goal: Decrease no-shows!

6. Post-event marketing

  • Thank you!
  • Survey/ Feedback
  • > Ask questions that will help with your next event
  • Share material from the event e.g. photos, presentations.

  • Remember that EVERYTHING reflects on your organisation

  • Think about the event experience!

  • Traditional vs. non-traditional venue – which way do you want to go? • Read the venue contract thoroughly – do they provide everything necessary? • Is there free Wi-Fi available for all attendees?

  • What social media channels to use
  • Do you need a #hashtag?
  • Event apps that can help you during your event
