What are extension volunteers?

  • Committee Members
  • Club Managers and Project Leaders
  • Master Volunteers
All extension programs are run by committee. The committees are what should be driving the work that the extension office is producing, and these committees are made up of volunteers. The head committee is the leadership advisory board. Each program area, FCH, ANR and 4-H has a committee as well, and is represented on the Leadership Advisory Board.

Club Managers and Project leaders are also volunteers who are responsible for our youth programming at the club level.

Master volunteers are volunteers whose work is focused in a specified area, such as wellness or gardening. These volunteers are also available to be used by extension in other areas as requested.

How to become a volunteer

  • Master Volunteers take a class
  • Complete background checks on 4-H Connect
  • Complete organizational volunteer training
Master Wellness and Master Gardener Volunteers take a class in order to start their internship year. Both must record a specific number of hours annually to maintain their status.

The above link has information about how to become a 4-H Volunteer. 4-H Volunteers are required to get a new background check every two years.

Maintaining Your Volunteer Status

  • adhere to office expectations
  • turn in required documentation

- follow a professional code of conduct in all interactions while representing AgriLife

-Submit all hours on Texas Volunteer system if you are a master volunteer

Master Gardener Requirements

  • Intern Year- 50 Hours
  • Following Years: 12 hours of service and 6 of continuing education
  • Documented in Texas Volunteer System

Responsibilities to the Office

  • Master Volunteer Projects must be approved by Extension
  • Offer Equal Opportunities to all
  • Submit required monthly documents (sign in sheets, minutes) to the office in a timely fashion
  • Cash Managment Procedures
-- for your hours to count toward your master volunteer required hours your program must be approved by the extension office and be entered into Texas Volunteer System

-- diverse groups that are open to all

-- all documents that are distributed must have the disclaimer from extension featured

Cash Management

  • Reciepts for all money recieved
  • Books reconciled monthly
  • Check requests kept to reflect all transactions

Each external support group is responsible for having its treasurer maintain
a record of activities, maintain a record of contributions received, and
prepare and keep on file a record of financial transactions.
b. State/Federal law requires that funds raised or given in support of all
Extension programs be handled in a manner of public trust.
c. Those responsible for handling funds must do so in an open, responsible
and trustworthy manner.
d. Each year, an “Annual Review of Support Group Fund” (Attachment 8-see
Appendix A-8) should be completed by the Support Group and provided to
the agent serving as their contact.
e. Support groups must clearly identify or designate those individuals who
have fiscal responsibility and how accountability is assured.
Documentation of the accountable parties and their accountability should
include:
i. Name(s) of individual(s) authorized to sign on the accounts
or authorized to increase or decrease the value of the assets.
ii. EIN (Employer Identification Number) of accounts.
iii. Physical location of assets.
iv. Name(s) of individual(s) responsible for financial
review/auditing the assets.
v. Board members/committee members, club managers and
treasurers must carry out their respective responsibilities as
defined in the rules and guidelines for handling finances and
assets.

Maintaining a Public Image

  • Always representing Texas A&M AgriLife Extension and the Cooperative Extension Program
  • Abide by a high standard of behavior
  • Treat other volunteers and agents with respect
