HOW DO I GET STARTED

THE PLAN

Backup - On site and off site. The cloud is great, but it probably should not be your primary backup.

Must back up daily. Make this automatic and unattended. It should be redundant, not incremental.

Back up everything, not just data your office creates. Include email, calendars, office management data.

YOU OWN THIS ISSUE! Check your backup log regularly.

Security - Work with IT expert for Antivirus and Firewall.

Naming protocol or DMS

Advantage of DMS is that can force user compliance.

If establishing a protocol yourself, think carefully about your business needs.

MAKE THE LEAP!

Email storage - Acrobat Pro 11 does a beautiful job

THE EQUIPMENT AND SOFTWARE

My set up:

1. APC Pro 1000 2T Hard drive
2. Fujitsu ScanSnap S1500 (I can't say enough great things about this scanner)
3. Dell Laptop, Apple iPad 128G
4. Adobe Acrobat Pro 11

Brother Printer
NO Fax Machine

16 sheet shredder
Once documents are scanned, the vast majority are shredded.

THE CLOUD

Internet backup options

Intended primarily for backup, not working with documents.

Cloud filing systems

Allows sharing and collaboration

Software as a Service

All your data and apps on a remote server

IMPORTANT QUESTIONS:
1. Where is data stored?
2. Who has access to it?
3. Is it encrypted in transit?
4. Is it encrypted on the server?
5. How can data be retrieved?

DROPBOX

Can download documents directly to my iPad for editing and use outside of my office whether or not an internet connection is available.

SOFTWARE AS A SERVICE
Software as a service

Think gotomypc, only you are accessing a remote server.

Still investigating, but has the potential to allow a law practice or other business to run from an iPad.

IT WORKS AT HOME TOO!

Get rid of your boxes of receipts, insurances policies, bank statements.

A Doxie scanner is great for home use!
