DUTY, ROUNDS, AND ADVOCATE

PROCEDURES

WHEN DO I START/END DUTY?
Duty begins at 4:45pm and ends at 8:00am, Monday through Friday.

Tuesday- You will attend the RA meeting and after the meeting, you will be in the Res Life office from 7:30-9:00

On days where the office is closed, including Saturdays, Sundays, and various university holidays, duty starts 8:00am and ends at 8:00am the following day.

You must stay on Marshall College campus while you are on duty. Leave a note on your door indicating where you are, when you will be back, and how you can be reached.

When you are on duty on the weekends, the RA on duty the previous day (last night) delivers the duty backpack to the RA that will be starting duty. You remain in duty until this step is completed. do not leave the duty bag at someone's door without physically seeing that they are present and able to answer the phone.

The RA who is on duty that weekend opens up Fireside or OVL.

DUTY PROTOCOL

ACCOUNTABILITY
RA on duty is expected to call the RA that will be on duty the following day to remind them of their shift.

Be punctual! The administrative assistant (Jose) cannot leave until you get there, please do not keep him waiting.

Duty switch procedure. Once a month at an RA meeting, we will be doing duty switches. If you realize after the change that you have a conflict, you can ask the RAs to switch with you. Please respond to the RA, even if you cannot make the switch. Duty switch form needs to be signed by your supervisor and then given to Jose so he can make the change on the calendar outside of the office.

You can ask RAs to cover for you. If an RA is covering for you at 4:45pm, please let Jose know.

DUTY BINDER

Please log every interaction into the duty binder.

When you are at the office, log residents coming up to the desk with questions, asking for packages, etc.

Log each phone call you receive and a small blurb.

If you would like to have a visitor over during duty, please log this into the binder so there is an accurate accounting of who is in the office during duty hours,

LOCKOUTS

You are responsible for lockout while you are on duty at the office, after 9pm or late nights you can refer the resident to call 534-HELP for an RSO to assist.

Weekend duty, you will ask the resident to meet you at the Res Life Office.

For a lockout, ask for the resident's id and room number and make sure to cross reference with the rooster. If they do not have their ID card, ask for other information. (What's your PID number, what room are you in, what's your birthday, etc.)

ROUNDS

DUTY ROUNDS IN THE RESHALL AND APT AREAS
Wear your RA badge.

Marshall College is only residential area where the RAs go on duty rounds with the RSO. Reason being is that at Marshall College we value community and that means making a connection with our RSOs, Bill and Charles.

RAs do not have to go with an RSO in duty. If you want to go solo or already spending. Some evening time with another RA that is fine. Make sure to call RSO dispatch at 534-HELP, non-emergency, and relay the message so that the RSO on duty is not waiting at the office.

Rounds start at 11:15 and typically last an hour but may vary.

Duty begins September 13, for the first week new RAs will be shadowing returning RAs in a 1:3 ratio.

The RSOs are doing rounds with you, not the other way around. Take initiative, be aware, and ask the questions you are expected of you in order to write a thorough report. The RSO is there to assist you.

CONTACT VISITS

Always announce yourself. "RA on Duty!"

Take notes on your clipboard on the incident, what do you see, smell, hear, etc.

For emergencies, such as sending a student to the hospital contact the Pro Staff on Duty to let them know.

Whenever in doubt, do not hesitate to contact Pro staff on Duty 858-480-9924. If they do not respond, leave a message and call again. If after a reasonable amount of time, contact a pro staff member via their personal cellular phones. Pro Staff on duty switch is every Thursday.

If an incident that requires documentation is made while doing duty rounds with an RSO, you will be expected to return to the office with the RSO. You will then coordinate Information into advocate together. You will also need to email the both ARDs with a notice of the contact no later than 24 hours after its documentation. If the contact involves any potential students of concern, you will need to enter an email report to your immediate supervisor.

After your advocate report, you have finished everything that is expected of you. The report will be sent to central campus and then forwarded to the Res Dean and respective ARD. The student will then be contacted to meet with the ARD.
