Why do you NEED Volunteers?

  • You can't be everything to your event/project!
  • Volunteers have skills and time that you may not!
  • Many hands...

Event Day Volunteers

  • Workers. Lots.
  • Not necessarily a strong connection to cause/event
  • Specific date, time, task.

Event Committee

  • Chair(s), Vice Chair, Sales, Media, Sponsorship
  • Committees activate a charity's strategic mission by driving revenue
  • They use their skills and align the charity with their own networks
  • Small group with long-term vision

  • May be involved in fundraising events and projects

  • Thank often - Committee meetings, at event, after event...
  • For Chairs or long-time members: flowers,note from Senior Staff, plaque
  • For members - phone calls from staff and Board as appropriate

Event Debrief

  • Essential! A debrief will help you steward your committee while receiving useful feedback for future events
  • Get all Committee's feedback
  • What worked? What didn't? What could be changed/improved for next time?
  • Take notes!!

  • Day-of volunteers are the lifeblood of a large event
  • They do much of the heavy lifting and are representing the organization
  • Recruit good volunteers, manage them well, treat them well, thank them!!

Respecting Volunteers!!

  • Let them know their job, all it entails, when you expect it will be complete, and when it actually is complete!
  • Treat them like gold...better to use repeat volunteers than to always be training new ones
  • Get them into your donor database
  • Ask them to donate if/when the time is right

Volunteer tips

  • Don't overstaff, but allow for no-shows
  • Feed volunteers!
  • Let them go when work is done
  • Get competent Team Leads
  • Ensure a plan to get them home depending on location
  • Be honest with volunteers - ensure they can be flexible with tasks, times
  • You can fire volunteers!!!
